In this role, the candidate will be responsible for supporting a Senior Level Executive, Director of Marketing and the Team. Duties will include extensive calendar management, travel arrangements, document preparation, expense reports, updating files & charts, ordering office supplies, managing vendor relationships, and other projects as needed. We are looking for a very strong candidate who is self-directed, and accustomed to handling a very fast-paced working environment. Additionally, we value a professional attitude and good personality so that you and the individuals you are supporting will enjoy each workday together.We viewed this individual as an “anchor” to our office and must be organizationally strong.

Qualifications:

- Strong organizational skills and attention to detail.
- Ability to multi-task and to work independently.
- Answer company’s phone.
- Manage calendars and schedules (e.g., setting up appointments).
- Manage recruiting schedule/setting up appointments/sending out letters as directed by managers.
- Outstanding written and oral communication skills.
- 5-7 years experience as an Executive Assistant.
- Candidates who have an Associates Degree or who have attended Secretarial School are desirable.
- Advanced skills in MS Office including Word, Excel, PowerPoint, and Outlook are required.(This is a necessity. Company will test the individual.)
- Work with our e-recruiting tool and help out with MBA recruitment.
- Update sales pipeline for one executive in Salesforce.com.
- Prepare mailings – letter, label, etc. – mass mailings.
- Help manage ADL’s Alumni Network – update contact information.
- Possess “can do” attitude.
This professional must be available for overtime, as needed, and must have an excellent attendance and punctuality record.
